The Webhook Pivot: Escaping the API Polling Death Spiral.

I was reviewing an integration architecture for a client whose external WMS needed to know immediately when a Sales Invoice was posted.
The middleware team’s solution?
A hyper-aggressive polling script hammering the salesInvoices API every 5 seconds, non-stop, 24/7.
When we pulled the telemetry, the truth was brutal:
99.2% of those requests returned zero changes.
That meant thousands of pointless HTTP calls…
Thousands of empty SQL round-trips…
And a Business Central service tier getting pummeled for absolutely no reason.
We weren’t syncing data.
We were burning resources.

⚠️ The Problem: The Constant Check Tax
Standard outbound integrations often default to pull-based architecture (polling). The middleware repeatedly asks BC, “Got anything new? How about now?”
This approach scales terribly. If your order volume spikes, you either have to poll faster (causing database locking contention) or accept higher latency. Your business central middle tier spends more time spinning its wheels processing security authentication and empty datasets than doing actual business logic.

🛠️ The Fix: Outbound Webhooks via standard Subscriptions
Stop letting external systems yank data out of Business Central. Flip the model.
Push updates only when something actually changes.
With BC’s native Webhook subscription engine, you turn an expensive, noisy, O(n) polling loop into a clean, event‑driven pipeline. No more constant API hammering. No more empty round‑trips. Just precise, real‑time notifications the moment state changes occur.

➡️ Why It Matters (The Senior Impact)
✅ Zero Waste Processing: Your system only communicates when there is real work to be done, immediately freeing up service tier capacity.
✅Near-Instant Latency: Data moves the moment the transaction commits, completely beating a 5-minute or 5-second polling window.
✅Lower Middleware Infrastructure Costs: Your integration platform doesn’t need to stay under a constant load handling empty responses.

☣️ The Trap: Webhook subscriptions in Business Central have a maximum lifetime (usually up to 3 days). You must write a lightweight, scheduled service on your middleware side to automatically renew the subscription before it expires.

💡 The Bottom Line
Stop burning cycles on pointless polling. Let Business Central push only when something truly changes. Webhooks turn noisy, wasteful integrations into clean, event‑driven pipelines that scale without punishing your service tier.
Precision beats brute force every time.
